1. WHAT INFORMATION DO WE COLLECT?

In Short:

We collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:

  • names
  • phone numbers
  • mailing addresses
  • usernames
  • passwords
  • billing addresses

Sensitive Information. When necessary, with your consent or as otherwise permitted by applicable law, we process the following categories of sensitive information.

Payment Data. We may collect data necessary to process your payment if you choose to make purchases, such as your payment instrument number, and the security code associated with your payment instrument. Social Media Login Data. We may provide you with the option to register with us using your existing social media account details, like your Facebook, X, or other social media account. If you choose to register in this way, we will collect certain profile information about you from the social media provider, as described in the section called "HOW DO WE HANDLE YOUR SOCIAL LOGINS?" below.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

Calendar Integration Data (Google and Microsoft/Outlook). Our AI assistant integrates with both Google Calendar and Microsoft Outlook Calendar to help you manage your calendar events across platforms. When you connect your calendar accounts, we collect and process the following information:

  • Account access tokens for authentication (Google OAuth tokens and Microsoft Graph API tokens)
  • Calendar IDs to identify which calendars you've granted access to
  • Event IDs to reference specific calendar events
  • Calendar event information (titles, dates, times, locations, descriptions) only when necessary to provide our services
  • User profile information necessary for calendar access (email addresses, account identifiers)

Limited Data Storage: We only store the minimum necessary information including access tokens, calendar IDs, and event IDs for both Google and Microsoft calendar services. We do not store full calendar event content unless specifically required for the service you've requested.

2. HOW DO WE PROCESS YOUR INFORMATION?

In Short:

We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:

  • To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
  • To provide AI assistant services. We process your calendar data and event information to enable our AI assistant to read, create, and manage calendar events on your behalf. This includes accessing your Google Calendar and Microsoft Outlook Calendar through authorized APIs to perform requested calendar operations.
  • To enable calendar integration and automation. We process calendar access tokens, calendar IDs, and event IDs from both Google and Microsoft services to maintain the connection between your account and your calendars, allowing our AI assistant to perform calendar management tasks across platforms as you request.
  • To send you marketing and promotional communications. We may process the personal information you send to us for our marketing purposes, if this is in accordance with your marketing preferences. You can opt out of our marketing emails at any time. For more information, see "WHAT ARE YOUR PRIVACY RIGHTS?" below.
  • To protect our Services. We may process your information as part of our efforts to keep our Services safe and secure, including fraud monitoring and prevention.
  • To identify usage trends. We may process information about how you use our Services to better understand how they are being used so we can improve them.
  • To save or protect an individual's vital interest. We may process your information when necessary to save or protect an individual's vital interest, such as to prevent harm.

3. WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR PERSONAL INFORMATION?

In Short:

We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e., legal basis) to do so under applicable law, like with your consent, to comply with laws, to provide you with services to enter into or fulfill our contractual obligations, to protect your rights, or to fulfill our legitimate business interests.

The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases to process your personal information:

6. DO WE OFFER ARTIFICIAL INTELLIGENCE-BASED PRODUCTS?

We offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies.

As part of our Services, we offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies (collectively, "AI Products"). These tools are designed to enhance your experience and provide you with innovative solutions. The terms in this Privacy Notice govern your use of the AI Products within our Services.

Use of AI Technologies

We provide the AI Products through third-party service providers ("AI Service Providers"), including Google Cloud AI. As outlined in this Privacy Notice, your input, output, and personal information will be shared with and processed by these AI Service Providers to enable your use of our AI Products for purposes outlined in "WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR PERSONAL INFORMATION?" You must not use the AI Products in any way that violates the terms or policies of any AI Service Provider.

Our AI Products

Our AI Products are designed for the following functions:

  • AI deployment
  • AI automation
  • AI bots and conversational assistants
  • Multi-platform calendar management and event scheduling
  • Google Calendar integration and automation
  • Microsoft Outlook Calendar integration and automation
  • Cross-platform calendar synchronization and management
  • Text analysis and processing

AI Assistant Multi-Platform Calendar Integration

Our AI assistant can access and interact with both Google Calendar and Microsoft Outlook Calendar when you grant permission. The AI assistant performs the following calendar-related functions across both platforms:

  • Reading calendar events: The AI can view your existing calendar events from both Google and Outlook calendars to understand your complete schedule and provide relevant assistance
  • Creating new events: The AI can create new calendar events on either platform based on your requests, including setting titles, dates, times, locations, and descriptions
  • Modifying existing events: The AI can update event details such as time, location, or description when requested, regardless of which platform the event was originally created on
  • Cross-platform coordination: The AI can help coordinate events across both Google and Outlook calendars to avoid scheduling conflicts
  • Managing calendar permissions: The AI operates within the scope of permissions you've granted through Google's OAuth authorization and Microsoft's authentication system

Platform-Specific Access: You can choose to connect either Google Calendar, Outlook Calendar, or both platforms. The AI assistant will only access the calendar platforms you explicitly authorize.

Data Minimization: Our AI assistant only accesses calendar information necessary to fulfill your specific requests across all connected platforms. We do not perform bulk calendar data processing or analysis beyond what's required for the requested service.

How We Process Your Data Using AI

All personal information processed using our AI Products is handled in line with our Privacy Notice and our agreement with third parties. This ensures high security and safeguards your personal information throughout the process, giving you peace of mind about your data's safety.

7. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short:

We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than 2 years.

Calendar Data Retention (Google and Microsoft/Outlook): We store calendar access tokens, calendar IDs, and event IDs from both Google and Microsoft services only as long as you maintain active connections between your account and these calendar platforms. When you disconnect any calendar account (Google or Microsoft) or delete your account with us, we immediately delete all stored access credentials for the respective platform. We do not retain calendar event content beyond what's necessary for active session processing.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

8. HOW DO WE KEEP YOUR INFORMATION SAFE?

In Short:

We aim to protect your personal information through a system of organizational and technical security measures.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information.

9. WHAT ARE YOUR PRIVACY RIGHTS?

We will consider and act upon any request in accordance with applicable data protection laws.

If you are located in the EEA or UK and you believe we are unlawfully processing your personal information, you also have the right to complain to your Member State data protection authority or UK data protection authority.

Withdrawing your consent:

If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.

Calendar Access Control (Google and Microsoft/Outlook):

You have full control over your calendar integrations and can manage your data access at any time for both platforms:

Google Calendar Control:

  • Disconnect your Google account: You can revoke our access to your Google Calendar at any time through your account settings or directly through your Google account security settings
  • Selective permissions: You can modify the specific calendars our AI assistant can access through Google's permission settings
  • Data deletion: When you disconnect your Google account, we immediately delete all stored access tokens, calendar IDs, and event IDs
  • Google's access controls: You can also revoke access directly through your Google Account permissions page

Microsoft/Outlook Calendar Control:

  • Disconnect your Microsoft account: You can revoke our access to your Outlook Calendar at any time through your account settings or directly through your Microsoft account security settings
  • Selective permissions: You can modify the specific calendars our AI assistant can access through Microsoft's permission settings
  • Data deletion: When you disconnect your Microsoft account, we immediately delete all stored access tokens, calendar IDs, and event IDs
  • Microsoft's access controls: You can also revoke access directly through your Microsoft Account app permissions page

API Compliance and Limited Use: In accordance with both Google API Services User Data Policy and Microsoft API Terms of Use, we use your calendar data solely to provide the calendar management services you've requested. We do not use your calendar data for advertising, nor do we allow humans to read your calendar data except when necessary for security purposes, to comply with applicable law, or when you provide explicit consent for specific purposes.

Opting out of marketing and promotional communications:

You can unsubscribe from our marketing and promotional communications at any time by clicking on the unsubscribe link in the emails that we send, replying "STOP" or "UNSUBSCRIBE" to the SMS messages that we send, or by contacting us using the details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below. You will then be removed from the marketing lists. However, we may still communicate with you — for example, to send you service-related messages that are necessary for the administration and use of your account, to respond to service requests, or for other non-marketing purposes.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with third parties.

Cookies and similar technologies:

Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services.

10. CONTROLS FOR DO-NOT-TRACK FEATURES

In Short:

We currently do not respond to Do-Not-Track signals as there is no uniform standard for recognition.

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online.

If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.

11. DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?
